# Budgeting Dashboard

The **Budgeting Dashboard** provides a centralized view of organizational spending and budget utilization. It enables administrators to monitor historical cost trends, compare actual spend against configured budget caps, and identify entities approaching or exceeding their limits. The dashboard also provides month-to-date spending details for organizations, copilots, recipes and users.

To access the **Budgeting Dashboard**:

1. Sign in to the application using an account with the required permissions.
2. Open the main navigation menu.
3. Select **Budgeting Dashboard**.

The dashboard contains the following sections as shown below.

1. **Overview**
2. **Month-to-Date Spend**

### Overview

The **Overview** section provides a historical view of organizational spending across the selected reporting period. It helps users analyze cost patterns, identify changes in spending behavior, and compare actual spend with configured budget caps. Use the available tabs, filters, and chart controls to review spending at different levels of detail.

#### Views

Use the tabs to view spending by category:

* **Organization:** Displays total organization-wide spend as a single aggregated series.
* **Copilots:** Displays spend by individual copilot. The five highest-spending copilots are shown separately, while the remaining copilots are grouped under **Others**.
* **Recipes:** Displays spend by individual recipe. The five highest-spending recipes are shown separately, while the remaining recipes are grouped under **Others**.
* **Users:** Displays spend by user role, including **Admin Users**, **Power Users**, and **Copilot Users.**

#### Date Range and Granularity

The **Date Range and Granularity** controls determine the reporting period and level of detail displayed in the chart. Select an appropriate date range, and then choose the required granularity to analyze spending by hour, day, or month.

* **Hourly:** Displays spending for each hour of a selected day, covering all 24 hours.
* **Daily:** Displays day-by-day spending for a selected period of up to 30 days.
* **Monthly:** Displays month-by-month spending for a selected period of up to 12 months.

Select **Clear filters** to reset the date range to the current month and restore **Daily** as the default granularity.

The **Budget Cap Lines** provide a visual reference for comparing actual spending with configured budget limits. These lines help users quickly identify when spending is approaching, meeting, or exceeding the applicable cap.

* **Organization, Copilots, and Recipes:** Displays a single reference line representing the configured daily or monthly budget cap, based on the selected granularity.
* **Users:** Displays separate reference lines for **Admin Users**, **Power Users**, and **Copilot Users**, based on the budget cap configured for each role.

A bar or data point that reaches or crosses a reference line indicates that spending has met or exceeded the configured budget cap.

#### Chart Controls

The **Chart Controls** allow users to change how spending data is displayed and interact with the chart. These controls support easier analysis by enabling users to switch visualization formats, expand the chart, and retrieve the latest available data.

* **Bar/Line:** Switches the visualization between bar chart and line chart views.

* **Fullscreen:** Expands the chart to fill the browser window for detailed analysis.

* **Refresh:** Reloads the chart using the latest available spending data.

#### Summary Insights

The **Summary Insights** panel provides a concise summary of spending for the selected date range and granularity. It helps users quickly evaluate total expenditure, average spending patterns, and the highest recorded spending value during the reporting period.

* **Total Spend:** Displays the total amount spent during the selected period.
* **Average Spend:** Displays the average spend per hour, day, or month, based on the selected granularity.
* **Maximum Spend:** Displays the highest spend recorded within a single hour, day, or month during the selected period.

### Month-to-Date Spend

The **Month-to-Date Spend** section provides a current-month view of accumulated spending and compares it with configured monthly budget caps. It helps users monitor budget utilization, identify high-spending entities, and detect areas that may require attention before the end of the month.

This section always reflects the current calendar month and is not affected by the date range or granularity selected in the **Overview** section.

#### Views

Use the available tabs to review month-to-date spending by entity type:

* **Organization:** Displays a single row representing the organization’s total month-to-date spend.
* **Copilots:** Displays one row for each Copilot, sorted from highest to lowest month-to-date spend.
* **Recipes:** Displays one row for each Recipe, sorted from highest to lowest month-to-date spend.
* **Users:** Displays one row for each user, sorted from highest to lowest month-to-date spend.

The **Copilots**, **Recipes**, and **Users** views include a search field that allows users to filter records by name.

The **Month-to-Date Spend** table provides detailed information about each entity’s current-month spending and budget utilization. Use the table to compare accumulated spend, configured caps, percentage consumed, and overall budget status.

* **Name:** Displays the name of the organization, Copilot, Recipe, or user. For users, the assigned role is displayed below the user’s name.
* **MTD:** Displays the total spend accumulated during the current calendar month.
* **Cap:** Displays the configured monthly budget cap for the entity. A dash (`—`) appears when no budget cap has been configured.
* **% of Cap:** Displays the percentage of the monthly budget cap that has been consumed. The value is represented using a color-coded progress bar.
* **Status:** Displays the entity’s current budget status based on the percentage of the configured cap consumed.

#### Status Definitions

The **Status** indicator helps users quickly identify entities that are operating within budget, approaching their budget limit, or exceeding the defined threshold.

* **On Track:** Indicates that less than 70% of the configured monthly budget cap has been consumed. This status is displayed in **green**.
* **Watch:** Indicates that 70% to 89% of the configured monthly budget cap has been consumed. This status is displayed in **yellow**.
* **Over:** Indicates that 90% or more of the configured monthly budget cap has been consumed. This status is displayed in **red**.

Entities without a configured monthly budget cap display a dash (`—`) in both the **Cap** and **Status** column.

#### Detail Chart

The **Detail Chart** provides a focused view of the selected entity’s daily spending activity for the current calendar month. It helps users identify spending patterns, peak-usage days, and periods in which costs are concentrated.

* **Open the Detail Chart:** Select any row in the **Month-to-Date Spend** table to open the Detail Chart panel.
* **View Daily Spend:** Review the selected organization, Copilot, Recipe, or user’s day-by-day spending for the current month.

* **Change the Chart Type:** Use the **Bar/Line** control to switch between bar chart and line chart views.

* **Expand the Chart:** Select **Fullscreen** to expand the chart for detailed analysis.

* **Close the Chart:** Select **Close (✕)** to close the Detail Chart panel and return to the complete Month-to-Date Spend table.
